Free Dog Grooming Software: What to Check Before You Choose
Understand free plans, trials and hidden workload. Check pet records, reminders, deposits, export access and the limits that matter as a salon grows.
A free tool can be a sensible starting point when you have a small client list and simple appointments. The important question is what remains free after you add your real booking, record-keeping and payment needs. Free software, a free trial and free payment processing are three different propositions. This guide does not imply that Collar offers a free plan.
Define the constraint that would justify upgrading.
Why Collar is different: connected work, not just a calendar
Collar brings the pet-business journey into one operating picture: a customer books for a specific pet, the team delivers the service, and the related order, payment and follow-up stay connected. Depending on the business, that same platform can also support products, memberships, staff, branches and field routes. The value is in how the enabled parts work together—not a claim that other tools cannot offer them.

Why it matters
What to check in Collar
Does the pet record stay with the booking?
Staff can find the right instructions for the right pet.
Follow a two-pet household from booking to service.
Do service and charges flow into the order?
The owner and team can understand what was sold and paid.
Add a service extra, take a deposit, then inspect the balance and receipt.
Can the setup support how our business actually works?
Groomers, daycares, boarders and mobile teams do not share one workflow.
Test the modules, roles and locations you plan to use; confirm limits before buying.
Understand what free actually covers
Write down the free plan limits before entering customer records. Look at clients, staff, calendars, locations and included messages. A trial can expose paid features that will stop working when it ends, so ask which workflows remain available on the continuing plan.
ShakeYourTail publishes a free tier alongside paid tiers. Its plan table separates client/resource limits and access to booking, payments and reminders; check the live table for the current limits.
Square markets a UK appointments offering with plan-dependent features. Check current UK eligibility and processing charges rather than relying on screenshots from another country.
A paper diary or general calendar may avoid a subscription but still leaves pet records, consent, payment tracking and secure access to solve separately.
Ask whether an export remains available after downgrading or cancelling. A free start is less useful if it makes later migration difficult.
Test pet care, not just appointment creation
A grooming booking connects an owner, a specific pet, a service, a staff member and a period of time. If a tool treats the owner as the only customer record, decide how you will avoid confusing two dogs in the same household. Do this with fictional data before using the system for real care.
Create two dogs under one owner. Give them different notes and confirm those notes are visible in the correct appointment.
Try a longer first visit, an add-on and a reschedule. Check that the diary blocks the time actually required, including cleanup.
Record a deposit and the remaining balance. Make sure staff can distinguish an unpaid visit from one partly paid.
Check who can read or export customer information on a shared device. Low cost does not remove the need for appropriate access controls.
Recognise the moment a free plan stops fitting
Upgrade when a defined operational constraint costs more than solving it, not because a dashboard looks more sophisticated. Useful signals include repeated double entry, records staff cannot find, reminders sent manually every evening and reports that require reconstructing the month.
Set an upgrade trigger before the salon is busy: for example, adding a second groomer, opening another location or introducing recurring memberships.
Track a week of manual work. Ten minutes a day is roughly five hours across thirty days, but only your actual schedule can establish the real monthly total.
Check whether paid access solves the whole problem. Buying SMS does not automatically fix inaccurate appointment durations or inconsistent pet profiles.
Keep data tidy from day one: standardise phone numbers, separate owners from pets and avoid placing all important information in one unstructured note.
Use a reversible evaluation
Try a normal day and an awkward day before committing. The awkward day should include staff absence, a cancelled booking and a client who cannot use the online flow. Choose the smallest system that handles both reliably, with a credible route to your next stage of growth.
Export the trial records and inspect the file. Check that key fields are readable and pets remain associated with the right owners.
Compare the free option with a paid quote using subscription, messages, processing and staff time together.
Evaluate Collar when your needs extend to connected pet records, booking, billing, memberships and multiple services. Ask for those exact workflows, not a generic tour.
Keep a written fallback process for booking and contacting owners during an outage, regardless of which plan you choose.
Find the point where free becomes costly
A free tier may be perfectly adequate for a small salon. The real question is which limit you will encounter first: staff seats, booking volume, reminders, deposits, reporting, branding or export. Model the first upgrade against your growth plan rather than assuming “free” is the long-term total cost.
Create two pets for one owner and confirm you can keep separate notes and histories.
Test whether online booking, cancellations and reschedules are usable on the free tier.
Ask what happens to your records and booking link if you stop using the product.
Price paid add-ons and payment fees using the same monthly volume as a paid alternative.
